SUMMARY:
Our prospection chemical blending and distribution company requires a Warehouse Clerk who will be responsible for providing strong administrative and operational support within the warehouse while assisting and mentoring the warehouse team. The role acts as a key link between the warehouse staff, suppliers, drivers, finance, and management.
POSITION INFO:
Key Responsibilities: Warehouse Administration Process and maintain accurate warehouse documentation. Capture goods received, stock movements, transfers, returns, and dispatches on the relevant systems. File and maintain delivery notes, invoices, purchase orders, GRNs, picking slips, and other warehouse records. Ensure all paperwork is completed accurately and submitted on time. Assist with preparing daily, weekly, and monthly warehouse reports. Maintain organised electronic and physical filing systems. Follow up on outstanding documentation and discrepancies. Invoices & Financial Administration Receive and check supplier invoices against purchase orders, delivery notes, and goods received. Verify quantities, pricing, product descriptions, and supporting documentation before invoices are submitted for processing. Identify discrepancies between invoices and goods received and follow up with the relevant supplier or department. Ensure invoices are properly authorised and routed to the appropriate person or department. Maintain accurate records of outstanding invoices and supporting documentation. Assist with resolving invoice queries and supplier account discrepancies. Ensure that no stock receipt or invoice is overlooked due to incomplete paperwork. Stock Control Monitor stock movements and maintain accurate inventory records. Assist with regular stock counts and investigate variances. Check that stock received matches the relevant documentation. Report shortages, excesses, damages, incorrect deliveries, and stock discrepancies. Assist with maintaining correct stock locations and warehouse labelling. Ensure that stock is properly controlled and that warehouse procedures are followed. Backing Up the Warehouse Team Provide support during busy periods, staff shortages, leave, or unexpected operational demands. Ensure that essential warehouse functions continue when the Warehouse Supervisor is unavailable. Help coordinate priorities and allocate tasks where appropriate. Escalate serious issues, disciplinary matters, or decisions outside the role's authority to management. Health, Safety & Housekeeping Ensure warehouse safety procedures are followed. Report hazards, damaged equipment, accidents, and near misses. Maintain good housekeeping and ensure work areas remain clean and organised. Ensure staff use the required PPE and follow safe working practices. Promote a positive safety culture within the warehouse.
