Our client, a public tertiary education institution, is looking to appoint a Project and Operations Coordinator. This role is responsible for the coordination and operational management of key processes supporting the project delivery function, with responsibility across three pillars: administration and coordination of the Strategic Fund, the effective administration of project management tools, and project coordination support to project managers. The role coordinates competing demands across these responsibilities and ensures that key processes, systems, records, project support activities and reporting are effectively and consistently applied and maintained. The role forms part of the projects, change and delivery specialism. KEY RESPONSIBILITIES Coordinating and overseeing the Strategic Fund application cycle, including application records, disbursement tracking and process documentation, and associated administrative requirements. Overseeing the administration and effective use of project management tools, including user management, template administration, data integrity, user guidance and training. Providing project coordination and delivery support to project managers - scheduling, meeting packs, minutes, action tracking, filing and documentation - and coordinating assigned actions through to completion. Supporting the annual strategy planning timeline and managing and maintaining reporting templates and the institutional calendar. Developing, maintaining and embedding process guides and standard operating procedures, acting as the point of liaison for stakeholders on process queries, and overseeing the integrity, accessibility and organisation of the function's records and document store, applying version control and organisational document-control and recordkeeping practice. MINIMUM REQUIREMENTS Relevant tertiary qualification in project management, business or public administration, or related field. Qualification and relevant experience will be considered together: Honours degree or postgraduate diploma (NQF 8) with at least three years' relevant experience Bachelor's degree or advanced diploma (NQF 7) with at least five years' relevant experience Diploma (NQF 6) with at least eight years' relevant experience. Proven experience in project coordination, administration or project support, including administering project management tools and maintaining process documentation. The ability to build and maintain effective relationships with internal and external stakeholders. Working knowledge of project management tools and methodology. Strong analytical, problem-solving and critical thinking skills. The ability to assess information, consider implications and make timely decisions. The ability to work independently and collaborate effectively with colleagues and teams. ADVANTAGEOUS Experience in a higher education or comparably complex institutional environment. Familiarity with Strategic Fund processes. Proficiency in reading and understanding Afrikaans. General: We are committed to fair and inclusive hiring.
