FACTORY SHOP SUPERVISOR
Reporting line: Factory Shop Manager
Location: George, Western Cape
Role Overview:
Support the Factory Shop Manager in the safe, efficient, compliant and customer-focused operation of the assigned Factory Shop. Supervise daily shop-floor activities, employees, sales execution, stock handling, cash controls, customer service, food safety, housekeeping, security and administration in line with company standards and delegated authority.
Key Responsibilities (but not limited to):
Sales Execution and Customer Service
- Support the Factory Shop Manager in achieving daily, weekly and monthly sales targets.
- Communicate sales priorities, promotions, approved prices and customer-service expectations to the team.
- Check that prices, labels, promotional displays and point-of-sale information are accurate.
- Monitor product availability, queues, customer flow and service levels during trading hours.
- Assist customers and resolve routine complaints promptly, courteously and within delegated authority.
- Record unresolved or recurring complaints and escalate them to the Factory Shop Manager.
- Identify practical opportunities to improve sales, displays, product movement and customer experience.
Daily Store Operations and Team Supervision
- Open, operate and close the Factory Shop safely and on time when delegated to do so.
- Allocate daily duties, breaks and work areas according to trading and operational requirements.
- Conduct pre-shift briefings and communicate targets, priorities, risks and changes.
- Supervise attendance, punctuality, uniforms, conduct, productivity and compliance with work instructions.
- Ensure shop-floor readiness, cleanliness, housekeeping, shelf presentation and merchandising standards.
- Monitor completion of daily checklists and follow up on incomplete or substandard work.
- Act as the responsible person in the absence of the Factory Shop Manager, within delegated authority.
- Escalate significant operational, employee or customer risks without delay.
Stock Control, Receiving and Stock Takes
- Monitor stock levels and report replenishment requirements, out-of-stocks, excess and slow-moving stock.
- Receive and verify deliveries and transfers against supporting documents and report discrepancies.
- Ensure stock is rotated, stored and handled according to first-expiry, first-out requirements.
- Check expiry dates, damages, waste, write-offs and short-dated stock and ensure accurate recording.
- Supervise stock movement between receiving, storage, cold rooms, freezers and the shop floor.
- Prepare count areas and teams for stock takes and ensure accurate counting, recounting and documentation.
- Assist with investigations into stock variances, negative stock and unusual transactions.
- Protect stock against theft, damage, contamination and unauthorised removal.
Cash, Point-of-Sale and Administration Controls
- Supervise till allocation, cashier readiness and adherence to approved point-of-sale procedures.
- Assist with daily cashing up, till reconciliation and investigation of shortages or overages.
- Control refunds, voids, discounts, price overrides and other restricted transactions within delegated authority.
- Maintain safe, key, change, cash-collection and banking-bag controls when assigned.
- Ensure transactions and supporting documentation are accurate, complete and filed correctly.
- Use approved systems responsibly and protect passwords and user access.
- Report suspected cash, system or transaction irregularities immediately.
- Complete daily reports, registers and administrative tasks accurately and on time.
People Supervision, Training and Employee Relations
- Provide clear instructions, on-the-job coaching and practical support to assigned employees.
- Monitor employee performance, attendance, punctuality, conduct and adherence to procedures.
- Provide factual feedback to the Factory Shop Manager on performance, training and employee-relations concerns.
- Address routine workplace issues promptly and respectfully and escalate formal matters.
- Ensure employees understand their responsibilities, targets, customer-service standards and safety requirements.
- Support induction, refresher training and skills development and maintain required records.
- Promote teamwork, professional conduct, fairness, respect and accountability.
- Apply company policies and instructions consistently within delegated authority.
Food Safety, Hygiene and Product Quality
- Enforce food-safety, hygiene, product-handling and quality requirements during every shift.
- Check personal hygiene, cleaning, housekeeping, pest-control observations and waste handling.
- Monitor refrigeration and freezer temperatures and report deviations immediately.
- Check product integrity, traceability, storage conditions and expiry-date controls.
- Ensure damaged, rejected, expired or unsafe stock is isolated, recorded and handled correctly.
- Complete required food-safety and quality records accurately and on time.
- Support audits, inspections and closure of assigned corrective actions.
- Stop and escalate any activity that may compromise customer safety, food safety or product quality.
Health, Safety, Security and Asset Protection
- Perform assigned duties under the Occupational Health and Safety Act and company SHE requirements.
- Conduct routine area checks and correct or report unsafe and unhealthy conditions.
- Ensure employees follow safe-working procedures and use required protective equipment.
- Report incidents, injuries, near misses, security breaches and suspicious conduct immediately.
- Apply access, key, opening, closing and restricted-area controls.
- Protect cash, stock, equipment and company property against theft, fraud, damage and unauthorised removal.
- Maintain emergency readiness and support evacuations, investigations and corrective actions.
- Escalate serious or repeated risks to the Factory Shop Manager.
Maintenance, Reporting and Continuous Improvement
- Inspect shop equipment and facilities and report defects or breakdowns promptly.
- Record breakdowns and maintenance requirements and follow up on assigned actions.
- Apply safe temporary controls where authorised and prevent use of unsafe equipment.
- Complete shift handovers, checklists, registers and reports accurately and on time.
- Maintain action lists with responsibilities, due dates and evidence of completion.
- Follow company SOPs, approval limits, delegated authority and audit requirements.
- Identify recurring operational problems and recommend practical improvements.
- Support implementation of corrective, preventative and continuous-improvement actions.

Qualifications and Experience
- Grade 12 or NQF 4 Certificate
- Computer literate (MS Excel and knowledge of WMS is advantageous)
- 3 years’ demonstrated experience within a similar role within a retail/ factory / production environment
