(Permanent contract position based in Newlands, Cape Town)

Background:

The primary responsibility is to maintain the supplier's database and to ensure that all invoices are processed and paid timely and accurately following WWF-SA's accounts payables process.

Responsibilities

  • Review and process vendor invoices in Oracle NetSuite.
  • Match purchase orders to vendor invoices.
  • Verify G/L coding on purchase orders and invoices and route them for approval.
  • Verify VAT and other taxes on vendor invoices.
  • Confirm completed purchase orders and close them timeously.
  • Raise direct bills for debit order payments.
  • Raise direct bills for monthly operating expenses.
  • Reconcile vendor statements, resolve discrepancies and implement corrective actions.
  • Reconcile accounts payable to the general ledger, including matching unreconciled supplier payments to the bank statements.
  • Train and support staff across business units in using Oracle NetSuite for payment processes.
  • Prepare batch imports for EFTs and transfers.
  • Prepare single EFTs and transfers.
  • Prepare foreign payment applications.
  • Monitor the maintenance of central supplier database and support the onboarding of new suppliers.
  • Update NetSuite with BEE certificates and provide supporting documents for BEE audit.
  • Prepare journals for foreign payment fees/Network fees, prepaid expenses, sundry creditors, property purchases, and related AP adjustments.
  • Assist with processing of interbank transfers on NetSuite.
  • Resolve vendor and internal invoice queries professionally and serve as a liaison between departments and vendors.
  • Maintain accurate documentation in line with organisational policies and accepted accounting practices.
  • Ensure accurate supplier VAT categories are being used.
  • Assist with uploading third-party data files to the SARS platform.
  • Assist the Financial Accountants with ad hoc tasks including processing of journals as assigned.
  • Preparation of schedules and supporting documents for annual audits in relation to role.

Requirements

  • A national diploma or certificate in bookkeeping, accounting or finance is preferred.
  • Over 5 years' experience in Accounts Payable.
  • Computer literate: MS Outlook, Word and Excel.
  • Familiarity with Oracle NetSuite is essential.
  • Supplier Reconciliation experience – 3 years.
  • Basic understanding of VAT requirements (tax invoices).
  • Highly accurate and great attention to detail.
  • Able to work under pressure, respect deadlines.
  • Must have strong communication and interpersonal skills.
  • Innovative in providing and addressing business needs.
