About the Role Our client is seeking a proactive and highly organised Residence Coordinator to oversee the daily operations, security, and maintenance of a student accommodation facility in Bellville. This role is pivotal in ensuring a safe, clean, and well-managed environment for students while maintaining seamless administrative communication with senior management. Daily Operations & Administration Conduct twice-daily inspections of the residence (interior and exterior) to ensure standards are met. Manage daily check-ins with management and facilitate daily meetings with maintenance, security, and cleaning teams. Oversee staff time registers and ensure correct shift handovers for security personnel. Reconcile petty cash daily and manage the end-of-month financial and operational paperwork. Maintain updated notice boards and coordinate monthly student and house committee meetings. Manage student correspondence, including bursary matters and university-related communications. Maintenance & Hygiene Management Prepare weekly maintenance checklists with photographic evidence and report urgent issues immediately. Supervise maintenance and cleaning staff to ensure daily schedules and cleanliness standards are upheld. Manage inventory for cleaning supplies and coordinate quarterly pest control and bi-annual room services. Ensure all facility utilities, including Wi-Fi and DSTV, are fully operational daily. Security & Compliance Monitor security incident reports, night shift logs, and biometric system functionality daily. Review camera footage to investigate incidents and ensure all students adhere to the student handbook and house rules. Maintain a comprehensive security file including emergency procedures, house rules, and incident reports. Ensure full compliance with Fire Regulations and Health & Safety standards, including conducting bi-annual fire drills. Student Lifecycle Management Coordinate the full check-in process, including lease agreements, room inspections, biometric registration, and proof of registration verification. Manage the check-out process, ensuring room inspections are completed and damages are recorded. Maintain an accurate and up-to-date occupancy list at all times. Facilities & Marketing Support Oversee the laundry facilities, including token management and equipment maintenance. Manage the upkeep of recreational areas and assets (e.g., snooker tables, board games). Assist with yearly student development programs and refer holiday accommodation queries to management. Requirements Previous experience in residential property management, student accommodation, or hospitality operations. Strong administrative skills with proficiency in email correspondence and reporting. Demonstrated ability to manage multi-disciplinary teams (security, cleaning, maintenance). Knowledge of Health & Safety regulations and emergency procedures. Excellent interpersonal skills with the ability to engage professionally with students, parents, and university stakeholders. High level of integrity for managing petty cash and residence assets. Ability to work independently and respond to queries within a 12-hour turnaround time.
