SUMMARY:

Start date: Immediately

POSITION INFO:
ABOUT OUR CLIENT Our client is a growing, Lowveld-based manufacturer and distributor of application-specific industrial, mining and commercial chemicals. Rather than supplying off-the-shelf products, they visit client sites, assess the conditions and formulate chemical blends tailored to each application, supported by their own on-site laboratory. As part of a larger chemical group, they have direct access to quality raw materials, bulk logistics support and their own vehicle fleet, delivering large volumes throughout Southern Africa, including Namibia, Mozambique, Malawi and Eswatini. Their clients include mining operations, agricultural packhouses, abattoirs, water treatment applications, warehousing and distribution centres, retail and commercial facilities. Due to continued growth, they are looking for an organised, proactive Project Administrator to keep their client projects, site visits and documentation running smoothly. KEY RESPONSIBILITIES Provide full administrative support to client projects, from initial site visit and assessment through to product trials, formulation changes and ongoing supply. Schedule and coordinate site visits, client meetings and product trials with the sales and technical team. Travel to client sites from time to time to assist with site assessments, collect information and samples, and support project follow-ups. Open, maintain and close project files, job cards and site records, ensuring all documentation is complete and up to date. Prepare quotations, project costings, purchase orders, delivery notes and supporting documents. Process invoicing and assist with debtor follow-ups. Liaise between the laboratory, production, dispatch and clients to make sure orders are blended, packed and delivered on time. Coordinate delivery schedules, including bulk and cross-border consignments, and keep clients informed of progress. Maintain product and compliance documentation, including Safety Data Sheets (SDS), product specifications and client-specific site requirements. Track raw material and stock requirements for projects and flag shortages early. Compile project progress reports, client correspondence and basic data (for example trial and test results) for management. Handle general office administration, filing and telephone and email enquiries. MINIMUM REQUIREMENTS Grade 12 (Matric). A relevant tertiary qualification in Office Administration, Project Administration or Business Administration will be an advantage. At least 2 years' administrative experience, preferably in project administration within a manufacturing, chemical, mining, industrial or technical environment. Proven experience with quotations, invoicing and costing is essential. Previous experience in QuickBooks and/or Pastel is preferred. Valid driver's licence (Code B / EB) and own reliable transport, as travel to client sites is required from time to time. Computer literate in MS Office, especially Excel, Word and Outlook. Fluent in English and Afrikaans, both written and verbal. Stable work history with contactable references. Available to start immediately. ADVANTAGEOUS Exposure to the chemical, water treatment, mining or food processing industries. Basic understanding of health and safety (SHEQ) documentation and the handling of hazardous products. Experience with cross-border delivery documentation. THE IDEAL CANDIDATE Holds a Grade 12 (Matric) certificate. A forward thinker who anticipates project needs and plans ahead. Able to work independently without supervision, as well as part of a team. Excellent communication style, both written and verbal, when dealing with clients, technical staff and drivers. Highly organised, with strong attention to detail and the ability to manage several projects at once. Professional, reliable and comfortable working both in the office and on site.
