Position Title: Payroll Specialist

The main purpose of the job is to ensure Volvo Group employees are paid on time without errors, to provide support with reporting and quality assurance.

Reporting: This position reports to the Payroll Manager

Job Objective

  • Payroll Processing
  • Payroll processing for monthly paid employees on VIP Premier
  • Importing of hours as per the time and attendance system
  • Use of Employee Self Service (ESS) for leave, claims and more
  • Full payroll accountability
  • Adhoc payroll functions including UI19’s, Certificate of Services and Quarterly Statistics
  • Reporting
    • Monthly reporting at country level
    • Complex ad hoc reports when required
    • MIBCO Reconciliation
    • General Ledger Exports
    • Other month end returns
  • System Maintenance
    • Ensure VIP system data is correct and accurate on a monthly basis
    • General System Maintenance on VIP including updates
  • Risk Control
    • Minimize risk within the payroll function
    • Support all Internal and External Audits
    • Quality assurance within the payroll function
    • Investigate errors and take corrective action
  • Case Management & Telephone System
    • Use of a case management system on a daily basis to liaise with internal and external customers in respect of payroll input and queries
    • Use informal call centre telephone system
  • Customer Service
    • Ensure high quality customer service is given within the payroll function
    • Build good relationships with all relevant stakeholders
  • Policies and Procedures
    • Ensure that all policies are adhered to according to business requirements within the payroll function

Education & Job Experience

  • Matric (Grade 12)
  • Financial/HR Diploma will be an added advantage
  • Minimum 5 years’ experience in a large/complex payroll

Job Knowledge & Skills

  • Good financial acumen
  • VIP Payroll and ESS System experience essential
  • Tax Year End submissions
  • Expert level knowledge Tax Legislation in South Africa
  • Advance Excel Skills
  • LRA and BCEA Legislation
  • SAP Finance added advantage
