Role Purpose
- The Executive Assistant to the Chief Digital and Technology Officer (CDTO) provides comprehensive, high-level support to the CDTO and coordinates business activity across the Technology, Data Centre of Excellence and PMO pillars. The role runs the rhythm of the CDTO office, anticipates needs, resolves issues before they surface, and keeps work moving across a fast-paced portfolio. It calls for high energy, strong drive, sound judgement and absolute discretion. This is a demanding, high-tempo role. The successful candidate must be contactable and responsive on a 24/7 basis to support the CDTO, including evenings, weekends and public holidays as the need arises, and must treat confidentiality as non-negotiable.
Requirements
- Matric
- A relevant qualification in Office Administration, Business Administration or equivalent
- Expert proficiency in Microsoft Office, in particular Teams, Word, PowerPoint, Outlook and Excel
- Confidence with collaboration and productivity tools such as SharePoint, OneNote and Planner
- Proficiency in project and task management tools or software
- Ability to design, build and edit high-quality, board-grade PowerPoint presentations
Duties & Responsibilities
Provide executive support and business coordination
(Internal Process)
- Work closely with the CDTO to keep them ahead of commitments, deadlines and priorities, following up appropriately and anticipating needs well in advance of meetings, engagements and travel.
- Serve as the primary point of contact for the CDTO office on internal and external matters, including those of a highly confidential or time-critical nature. Prioritise, exercise judgement and determine the appropriate response, referral or course of action in line with the CDTO's style and company policy.
- Manage the diary, meetings and travel for the CDTO, and control the flow of information so that matters needing personal attention are dealt with quickly.
- Provide business coordination across the Technology, Data Centre of Excellence and PMO pillars, tracking actions, deadlines and deliverables and keeping a clear line of sight on what is due and what is outstanding.
- Prepare, format and quality-check board-grade presentations, agendas, minutes and correspondence to a high standard and within tight timeframes.
- Coordinate the logistics of events, meetings and functions, including venue, catering and materials, within budget and specification.
- Maintain accurate records, contact lists and filing so that information stays current and easy to find.
Engage stakeholders in a client-centric manner (Client Services)
- Communicate effectively at all levels with internal and external stakeholders on behalf of the CDTO office.
- Build and maintain strong, trusted relationships across the business, the group and the CDTO's external network.
- Manage stakeholder expectations, deliver on commitments made, and keep people informed and up to date.
