We are looking for a customer-focused, energetic and detail-oriented Dispatch Supervisor (Day Shift) to join our Johannesburg team.
The successful candidate will be responsible primarily for supervision of the outbound day shift to ensure the accurate and successful distribution of BCE products to BCE customers within the stipulated time limits, whilst ensuring high standards are maintained with regard to the implementation of standard operating procedures to limit unnecessary inefficiencies and stock losses. This position is responsible for resolving personnel, organisational and equipment problems during the day shift.
Key duties and responsibilities (including but not limited to):- Assist the Outbound and Day Shift Manager with the general management and supervision of the BCE Day Shift distribution functions.
- Communicate regularly with Warehouse, Outbound and Day Shift Manager regarding Day Shift distribution issues.
- Recommend manpower need based upon work volume.
- Ensure that operating expenses are kept at a minimum (i.e., overtime, etc.).
- Communicate with all departments on information necessary to ensure maximum productivity with minimal errors.
- Communicate with the Late Shift Supervisor all information necessary to make for a smooth change of shifts.
- Regularly inspect working areas for safety hazards and either resolve them or report them to the safety coordinator/representative as appropriate.
- Prepare and compile reports on employee accidents, equipment problems and employee relation matters to facilitate smooth operations.
- Evaluate all shrink issues during the day shift and recommend necessary changes for improvement.
- Assist the Day Shift Manager to hire, coach, mentor, develop and train direct reports.
- Assist the Day Shift Manager to schedule, assign, delegate and monitor day shift staff efficiently.
- Coordinate and supervise activities within the Day Shift department by scheduling work assignments, setting priorities, and directing the work of direct reports.
- Assist the Day Shift Manager to maintain and control the physical condition of the warehouse and supplies and ensure compliance with company and government policies and regulations (e.g. OHSA).
- Supervise, interact, problem solve and provide direction for daily activities.
- Assist the Day Shift Manager to develop, supervise, measure, and drive inventory control methods relating to outbound activities.
- Assist the Day Shift Manager to manage and supervise the recording and coordination of the flow of stock between inbound and outbound departments.
- Actively participate in regular stock takes and cycle counting.
- Oversee the preparation and loading of all trucks for delivery of orders in conformance with company procedures and customer instructions.
- Take initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner.
Pick & Pack SupervisionSupervision of the BCE pick and pack function, including local deliveries, national deliveries, 3rd party couriers, Collections, Exports, Cash & Carry and Cape Town Container, including:
- Ensuring picking, packing and dispatching of goods happens in a timeous and accurate manner in line with company policy.
- Overseeing and supervision of the loading of trucks, couriers and other means of transporting of goods.
- Ensuring accurate invoices, including correct capturing of serial numbers.
- Management of pick and pack staff.
- Liaison with other warehouse departments, customer care and internal sales with regard to errors.
- Ensuring the implementation and adherence to standard operating procedures within the pick and pack department.
Driver SupervisionSupervision of the BCE drivers, including:
- Assisting with the delegation of routes on a daily basis.
- Assisting, oversight and supervision of the loading of trucks in the morning.
- Assisting with analysis of routes to ensure optimal efficiencies.
- Assisting with following up on deliveries and errors relating to the BCE fleet.
- Assisting with the performance management of BCE drivers and assistants.
- Ensuring the implementation and adherence to standard operating procedures for drivers and drivers assistants.
Safety & SecurityAssist the Day Shift and Outbound Manager to ensure the safety and security of all BCE assets including but not limited to:
- Staff
- Stock
- Debtors
- Plant and Equipment
- Vehicles
Qualifications, Experience and Knowledge:- Grade 12 (or equivalent).
- Relevant Bachelor's Degree or equivalent combination of a tertiary qualification coupled with work experience.
- Ability to motivate and develop direct reports.
- Driver's license.
- Valid First Aid Certificate (highly beneficial)
- OHSA trained.
- Forklift Certification (Highly beneficial).
- Computer literate (Microsoft Office Package), SAP, Qwix (preferred)
- Supervision experience preferable in warehouse operations.
- General warehouse experience.
- Experience in conducting disciplinary hearings, coaching and mentoring of direct reports and performance management of direct reports.
- Logistics management experience.
- Excellent knowledge of administrative systems and procedures.
- Business acumen and good understanding of business processes and functions.
- Experience with a comprehensive WMS and WMS driven processes.
