SUMMARY:
Our client, in the Cleaning Services industry, is seeking to employ a Creditors Controller and Administration Coordinator, based in Port Elizabeth. 

Salary: CTC: R10,000 to R13,000 per month


POSITION INFO:
Requirements: Grade 12 \/ Matric. Degree \/ Diploma in bookkeeping or accounting qualification. Practical experience in creditors reconciliations, financial administration and supplier queries. Working knowledge of AccPac or Sage and Microsoft Excel, Word and Outlook. Experience with customer invoicing, purchasing or warehouse administration would be advantageous. Valid drivers license \/ own vehicle. Responsibilities, but not limited to: Prepare accurate supplier reconciliations for month-end payments and submit supporting documentation to the Financial Manager for review. Investigate statement differences, missing invoices, credits and payment allocations; follow up with suppliers and escalate unresolved items. Process creditor-related bank transactions and expense entries appearing on bank statements in the correct company records. Reconcile petty cash and assist with banking in conjunction with the Financial Manager, ensuring receipts support recorded expenses. Maintain organised financial records, invoices and supporting documents, with consistent filing and archiving for easy retrieval. Assist the Financial Manager and Director with finance and administrative tasks relevant to the role. Send invoices and proof of delivery documents to major client's weekly and follow up on document queries. Complete and submit the weekly schedule; review reconciliations, provide feedback and manage claims on GATEWAYS. Prepare and submit the Supercare rebate spreadsheet by the 5th of each month for the previous month's invoices. Process and invoice customer orders accurately and promptly, and resolve customer queries or refer them to the appropriate person. Handle stock purchasing and supplier stock receipts within the company's approval procedures. Prepare delivery trip sheets and assist with coordinating warehouse and delivery activities. Verify stock loaded onto delivery vehicles against the relevant delivery documentation and report discrepancies. Load invoices requiring credit processing for review and processing by the Financial Manager. Assist with stocktakes, including capturing and recording stock data accurately. Supplier reconciliations and payment supporting documents are complete and submitted by the agreed month-end deadline. Creditor and bank expense entries are accurate, supported and recorded in the correct company; discrepancies are followed up promptly. Customer orders, stock receipts, delivery checks and stocktake captures are accurate, with discrepancies reported promptly. Financial and operational documents are complete, organised and readily retrievable. Prepare transactions, reconciliations and supporting schedules within assigned access rights and approval procedures. Submit payment packs to the Financial Manager and load invoices for credit processing by the Financial Manager. Refer payment authorisation, credit approval and unresolved exceptions to the designated approver.
