PURPOSE OF THE POSITION
- Oversee the management of the accreditation office ensuring proper governance is followed and risk is mitigated by implementing the accreditation guidelines and proper accounting and system controls including complaints management.
- Ensure there is adequate number of accredited student accommodation per campus to support NWU Residence by conducting /coordinating physical site inspections, issuing accreditation numbers and managing the accreditation database for NWU.
- Ensure accredited facilities are in line with DHET minimum norms and standards and NSFAS guidelines and comply with rules, regulations and guidelines.
- Overall financial management of the accreditation office and staff management.
KEY RESPONSIBILITIES:
Administrative Control and Management:
- Manage NWU accreditation database and verify documentation in order to successfully accredit potential Landlords.
- Monthly submission of accreditation operations report and review of the financial report for the accreditation office.
- Manage new applications, remove declined facilities and update personal information of Landlords.
- Issue accreditation number to accredited landlords ensuring there is adequate number of accreditations for each Campus.
- Gather all required documentation and check for correctness.
- Review the accreditation database to ensure accuracy, completeness and compliance with accreditation guidelines.
- Manage accreditation mailbox to ensure all enquiries are answered in a timely manner and handling complaints in a courteous, professional manner.
- Control data capturing, sign off on basic reconciliations and compile reports.
- Ensure all accreditation documentation and correspondence are issued in a timely manner.
Site Inspections:
- Arrange and manage the inspection of properties as per application.
- Ensure all minimum requirements are met.
- Note all discrepancies and upload photographs.
- Arrange surprise visits and visits to properties for re-inspection.
- Review and approve inspections conducted by junior staff.
Assisting other offices:
- Provide verification support to the NWU Student Finance and Financial related systems by confirming accredited bed capacity and identifying discrepancies where claims exceed approved accreditation limits.
- Provide assistance to NWU Student Finance and Financial related systems in managing private accommodation related student queries.
- Engage with Student life, Protection services, GBV offices and Student judicial Services on student related issues
- Engage SRC/SCC on private accommodation related matters and provide guidance and education on accredited private properties.
Stakeholder communication:
- Communicate with landlords regarding accreditation guidelines, accreditation outcome.
- Issue formal correspondence to landlords outlining required corrective actions arising from inspection or complaint findings.
- Manage and resolve landlord and student complaints in a professional, impartial, and timely manner.
- Provide accurate guidance and advisory support to service providers regarding accreditation requirements and compliance standards.
- Liase with NWU Corporate communication regarding publishing of information on private accommodation.
People Management & OHS:
- Adhere to safety regulations as per university guidelines.
- Manage accreditation team which includes but not limited to allocation of work across team member, management of performance agreement and leave, staff training and support and related labour issues.
- Review work performed by junior staff.
Minimum requirements
- Grade 12 (NQF Level 4).
- Valid driver's licence.
- BCom Law/ BA Law degree OR Risk, Compliance and/or Governance Qualification (NQF 7)
- Minimum of three (3) years' experience in a student residence or accreditation environment, dealing with applications, inspections, and student-related complaints.
ADDED ADVANTAGE:
- Minimum of three (3) years' experience working on Jotform.
KEY FUNCTIONAL/TECHNICAL COMPETENCIES:
- Relevant and proven knowledge and experience specifically with regards to the NWU accreditation process will be advantageous.
- General computer literacy.
- Excellent written and verbal communication skills in English.
- Maintain confidentiality and well thought out considered actions.
- Conflict resolution skills.
- Knowledge of Kuali Financial Systems/ any Financial system.
