Job Description

Purpose: 

To support the Cape Town Chemistry Laboratory by ensuring the accurate reception, logging, traceability, and handling of samples. The role is responsible for managing sample collections, deliveries, and administrative duties to ensure all samples are processed efficiently, securely, and in compliance with laboratory protocols, quality standards, and regulatory requirements. The incumbent will also provide operational support to the Chemistry Laboratory team and contribute to maintaining an organised and compliant laboratory environment.

Responsibilities:

1. Sample Reception & Logging

  • Receive, inspect, and accurately log all incoming samples into the Laboratory Information Management System (LIMS).
  • Verify accompanying documentation, including chain of custody and sample submission forms, and resolve any discrepancies with clients or couriers.
  • Label, store, and maintain samples under appropriate environmental conditions in accordance with laboratory procedures.
  • Ensure full traceability of samples throughout the testing process.
  • Prepare and distribute samples to the relevant laboratory departments within required turnaround times.
  • Maintain a clean, organised, and compliant sample reception area.
  • Archive and dispose of samples in accordance with retention schedules and quality management requirements.

2. Sample Collection & Delivery

  • Conduct on-site sample collections in accordance with approved sampling procedures and quality requirements.
  • Safely package, handle, and transport samples to preserve sample integrity.
  • Maintain accurate records of vehicle usage and report incidents or maintenance requirements.
  • Ensure company vehicles are clean, roadworthy, and maintained according to company standards.
  • Assist with the collection, transportation, and delivery of laboratory-related materials when required.

3. Administrative & Logistical Support

  • Adhere to all laboratory Standard Operating Procedures (SOPs), ISO requirements, and Health & Safety policies.
  • Assist with sample preparation, storage, organisation, and laboratory housekeeping activities.
  • Maintain reliable records and documentation to support laboratory operations and quality assurance processes.
  • Provide general administrative support to the Chemistry Laboratory team.
  • Act as a point of contact for clients, couriers, and internal stakeholders regarding sample-related queries.
  • Support continuous improvement initiatives aimed at enhancing laboratory efficiency and quality.

Requirements

Qualifications:

  • Matric (Grade 12) or equivalent (essential)
  • Tertiary qualification in Food Science, Microbiology, Biotechnology, Analytical Chemistry or Bsc Chemistry or related field (advantageous)

 

Experience:

  • 1-2 years' experience in a laboratory, sample reception, logistics, or related scientific environment.
  • Previous experience within an analytical chemistry laboratory will be advantageous.
  • Experience working with Laboratory Information Management Systems (LIMS) or sample tracking systems will be advantageous.
  • Exposure to ISO 17025 laboratory environments will be advantageous.

 

Skills & Competencies:

  • Basic understanding of analytical chemistry principles and laboratory sample handling procedures.
  • Strong organisational, planning, and time management skills.
  • Excellent attention to detail and commitment to accuracy.
  • Ability to maintain complete sample traceability and data integrity.
  • Good verbal and written communication skills.
  • Ability to work independently while collaborating effectively within a laboratory team.
  • Ability to follow established procedures and maintain compliance with quality standards.
  • Customer-focused approach when dealing with clients and couriers
