Accounts Payable & Inventory Administrator

POSITION INFO:
About the Role A leading organisation is seeking a detail-oriented Accounts Payable & Inventory Administrator to join their finance team. This role is responsible for managing end-to-end creditors administration, procurement support, and inventory control, while coordinating international shipment processing to ensure operational efficiency and financial compliance. Creditors & Cashbook Management Manage weekly bank and cashbook processing, including statement imports and accurate allocation of payments to the general ledger and supplier codes. Perform comprehensive weekly and month-end creditor reconciliations against supplier statements, purchase orders, and ledgers. Prepare supplier reconciliation packs and age analysis reports for management approval. Investigate and resolve supplier queries, variance discrepancies, and credit note issues in a timely manner. Procurement & Vendor Management Facilitate the vendor onboarding process, including credit applications and negotiating supplier terms. Manage the purchase order process, ensuring all orders meet necessary internal authorisation levels. Match delivery notes to invoices for consumable and general business purchases. Inventory & Warehouse Control Oversee goods receiving by matching invoices to packing lists and purchase orders. Manage inventory scanning and barcoding processes to ensure accurate stock records. Support inter-warehouse transfers and reporting. Lead monthly stock counts, investigate variances, and reconcile physical stock against system data. Logistics & International Shipments Coordinate import clearing instructions with freight agents and verify physical deliveries. Manage export administration, including commercial invoices, packing lists, and shipping portal submissions. Coordinate with transporters regarding product dimensions and manage Certificates of Compliance. Requirements 3-5+ years of experience in a full-function Accounts Payable, Creditors, or Inventory control role. Prior experience within a manufacturing or industrial environment is highly advantageous. Advanced proficiency in Pastel Accounting (Essential). Proven experience with inventory management or scanning software. Strong knowledge of General Ledger allocations, VAT applications, and age analysis. Practical experience handling import\/export documentation and shipping workflows. Excellent numerical accuracy, reconciliation skills, and the ability to meet strict deadlines.
